Setting Up a New Tablet for a Workstation Worker

A worker's Workstation tablet stops working when they get a new device or their old one breaks. Binding a new one is the same flow you used the first time — generate a QR, the worker scans it, done.


Why it matters

Workstation doesn't use a password or a passkey. A tablet is bound to one worker, and that binding — not a login — is what lets the worker open the app and see their own schedule, jobs, and messages. Replace the tablet, or wipe it, and the binding is gone.

The fix is to bind a new tablet the same way you set up the first one. It takes about a minute.


How it works

  1. The worker's tablet shows the "this device needs setup" screen instead of their dashboard — meaning it isn't bound to anyone (new tablet, wiped tablet, or one you turned off).
  2. The worker tells you they need a new tablet set up.
  3. You go to the worker's Devices page in the admin panel and click Set up tablet.
  4. The worker scans the QR on their tablet (or opens the enrollment link you send them) and confirms.
  5. The tablet is bound. It opens straight to their dashboard from then on.

Binding a new tablet for a worker automatically turns off their old one — a worker has exactly one active Workstation tablet at a time.

  • Page: the user's Devices page
  • Path: Admin > Users > (click the user) > Devices > Workstation section > Set up tablet
  • Who can see it: Account admins, on Professional plan

What you'll see

The Workstation section

If the worker doesn't have a bound tablet yet, it says so. If they do, it lists the tablet's name and when it was last active, with an option to turn off its access.

Set up tablet

Clicking Set up tablet opens a QR code with:

  • A scannable QR code
  • An enrollment link (for a tablet without a camera, or to send remotely — text, email, whatever you use)

The code and link are single-use and expire after a set window. If nobody scans it in time, click Set up tablet again for a fresh one.

Send it to the worker. They open it on the tablet, see a screen confirming their name, and tap through to finish. No password, no biometric — just the confirmation tap.


What to do

A worker says "my tablet isn't working"

  1. Open their user page > Devices.
  2. Confirm the account is still on the Professional plan — Workstation isn't available on Starter.
  3. Click Set up tablet.
  4. Send the QR or link to the worker. They scan or open it, confirm, and they're back in.

A worker got a new tablet

Same flow. The old tablet's binding doesn't transfer — bind the new one and the old one is automatically turned off.

Turning off a tablet on purpose

If a worker leaves, or a tablet is lost, open their Devices page and turn off the tablet's access directly — you don't need to wait for them to report a problem.


Common questions

Will the worker lose their data when I set up a new tablet?

No. Their shifts, tasks, and history stay attached to their user record. The tablet binding is just how the app knows which worker is using it.

Can I do this in bulk?

Not from a list — each worker's tablet is set up individually. For a large account, plan a setup session where workers bring their tablet to you one at a time.

What if the tablet can't scan the QR?

Use the enrollment link instead. Copy it from the QR screen and send it to the worker by text or email; they open it directly in the tablet's browser.
